Before you write filters
Stackora does not read your Gmail labels. It processes mail that arrives at your Stackora forwarding address. Gmail filters are how you decide which messages get forwarded.
- Copy your Stackora address from the Dashboard.
- In Gmail, open Settings → See all settings → Forwarding and POP/IMAP.
- Add your Stackora address as a forwarding destination and complete any verification Google requires.
Once Gmail allows forwarding to that address, every filter can use Forward it to as an action.
Pattern 1 — School and district mail
School mail often clusters on a handful of domains.
Search criteria (edit domains to match your district):
from:(*@district.k12.state.us OR *@schoolname.edu OR *@parentsquare.com)
Actions: Forward it to your Stackora address, and optionally Skip the inbox so Gmail does not duplicate noise in your primary view.
Add exclusions if payments or receipts should stay in Gmail only:
-subject:(payment OR receipt OR "order confirmed")
Pattern 2 — Finance and admin
Use subject-line cues when domains are too broad.
Search criteria:
subject:(invoice OR statement OR "amount due" OR "payment due" OR "autopay")
Actions: Forward to Stackora, Skip inbox.
Review catches for two weeks; retailers love the word “receipt,” so tighten phrases if promos sneak in.
Pattern 3 — High-priority humans
When a small set of people always deserve extraction, a sender list beats guessing keywords.
Search criteria:
from:(lead@company.com OR nurse@pediatrics.com OR coach@sports.org)
Actions: Forward to Stackora. Consider Star if you still want a Gmail cue.
Pattern 4 — Newsletters and low-urgency lists
Search criteria:
(list OR unsubscribe OR "view in browser" OR "email preferences") -subject:("security alert" OR "password")
Actions: Forward to Stackora, Skip inbox, Mark as read so badge counts stay honest.
Verify end-to-end
Send yourself test messages that match each filter. In Gmail → Sent, confirm forwarding succeeded, then open Stackora → Dashboard and confirm new items appear once processing finishes.
Common mistakes
Forwarding before Gmail verification finishes — Gmail silently skips the forward until the address is confirmed.
Over-broad subject rules — Start narrow; broaden only when you notice consistent gaps.
Assuming labels sync — Labels help you organize Gmail; Stackora only sees mail you forward.
Stale domains — When a vendor changes its From domain, update the filter. A quarterly ten-minute review catches drift.
